Academy Administrative Assistant

Full Circle Music is looking for an administrative specialist!

We have so many projects going on inside of the Full Circle Music Academy, and the administrative specialist is the backbone of it all.

The Admin Assistant is the chief coordinator and organizer for all of our operations. In this role, you will create systems, manage various projects (and communicate with other team members to keep them accountable), lead customer support, and serve other team members by controlling pop-up tasks.

In many ways, the Admin Assistant is our “chaos controller.” To thrive in this role, you must be quick on your feet and adaptable. While others in the company will have more structure in their day-to-day, the Admin Assistant will thrive in-between the structure.

Therefore, an Admin Assistant must be very highly organized and enjoy days that bring different challenges than the last.

The Admin Assistant will need to be tech-savvy and a strong problem solver. This isn’t “assembly line work.” That means, we won’t be training you on a process and then expecting you to do the same thing over and over again. Rather, in many cases, you will need to search Google or YouTube to figure things out yourself.

Job Responsibilities

  • Reporting On Academy Progress
  • Communicating with Internal Staff and External Clients/Partners
  • Leading Customer Support (Via Email & Live Chat)
  • Preparing, Executing, and Following-up on Meetings
  • Managing Recruiting Logistics (Interns & Apprentices)
  • Scheduling for Academy Staff
  • Keeping The Office Organized
  • Tracking Company Spending And Making Purchases
  • Managing Invoicing & Billing
  • Tracking Apprentice Curriculum
  • Contacting Software Companies to Troubleshoot Problems
  • Organizing Files & Data On Hard Drives & Dropbox
  • Onboarding New Employees/Interns/Staff with Computers, Software, Welcome Packages, etc.
  • Managing Interns’ Day-To-Day Tasks & Schedules
  • Representing The Company At Events
  • Backing Up Projects & Updating Software
  • Basic Video Editing
  • Updating Our Website & Social Media
  • Researching Tools & Solutions for the Company
  • Handling “Tech-Savvy” Tasks Such As Computer Setup, Software Updates, Prepping Video Gear, Orchestrating Live Streams, Compressing Files, etc.

Required Skills/Experience

  • Excellent Reading/Writing/Communication Skills
  • Exceptionally Proficient with Microsoft Excel (or equivalent software)
  • Highly Organized
  • Deep familiarity with MacOS and the Apple Ecosystem
  • Self Learner
  • Always Looking for Ways to Help and Add Value
  • College Degree (or Equivalent Experience)

Bonus Qualifications

  • Previous professional customer support experience
  • Knowledgeable on our Academy products & offerings
  • Sales experience/background
  • Experience with songwriting, performing, music production, etc.
  • Professional marketing experience
